How All Seasons HVAC collects, uses, shares, and protects your information when you visit our website, request service, or contact us — and the privacy choices and rights available to you.

This Privacy Policy (the "Policy") explains how All Seasons HVAC ("All Seasons HVAC," "we," "us," or "our") collects, uses, discloses, and protects personal information when you visit our website, submit a form, request an estimate, schedule service, apply for a job, call or text us, or otherwise interact with us (collectively, our "Services"). It also describes the privacy choices and rights available to you.

This Policy reflects our current data practices. If you have any questions, or would like to exercise a privacy right, please contact us using the details in Section 16.

1. Who We Are and the Scope of This Policy

All Seasons HVAC is a residential and commercial heating, cooling, and water-heater services company based in Des Moines, IA. This Policy applies to personal information we collect through our website and online forms, by phone, by email and text message, and in the course of responding to inquiries, providing estimates, scheduling and performing services, and considering job applicants.

This Policy does not apply to the practices of third parties we do not own or control, including the operators of websites you reach through links on our site. Your use of our website is also governed by our Terms & Conditions.

2. Information We Collect

We collect personal information in three ways: information you provide to us, information collected automatically when you use our website, and information we receive from third parties.

2.1 Information you provide

When you submit our contact or free-estimate forms, apply through our careers form, or otherwise communicate with us, you may provide:

  • Your first and last name;
  • Email address and telephone number;
  • Your service or property address and details about the equipment, project, or service you are interested in;
  • The type of service or quote you are requesting, and the contents of any message or description you choose to send;
  • For job applicants: the position you are applying for and any résumé, cover letter, or other materials you upload;
  • Your communication preferences and any consent you provide on our forms.

Please do not submit sensitive personal information (such as government identifiers, payment-card numbers, or health information) through our website forms unless we specifically request it. We do not require payment-card or financial-account information to use our website.

2.2 Information collected automatically

When you visit our website, we and our analytics and security providers automatically collect certain information through cookies and similar technologies, including:

  • Device and technical data such as your IP address, browser type, device type, operating system, and language settings;
  • Usage data such as the pages and content you view, the links you click, referring and exit pages, and the dates and times of your visits;
  • Online identifiers, including cookie identifiers and analytics identifiers assigned to your browser or device;
  • Approximate location inferred from your IP address (we do not collect precise geolocation from your device).

2.3 Information from third parties

We combine this information with the information described above to operate and improve our Services.

  • Contact you by phone, email, or — where you have provided it — text message about your request, appointment, application, or account;

4. Cookies, Analytics, and Tracking Technologies

We use cookies and similar technologies to operate our website, remember your preferences, measure traffic, and improve performance. Specifically, our website uses:

  • Google Tag Manager and Google Analytics — loaded on every page to understand how visitors find and use our site so we can improve it;
  • Google reCAPTCHA — to protect our forms from spam and automated abuse (its use is subject to Google's Privacy Policy and Terms of Service);
  • Google Maps — embedded to show our location and service area.

These Google services may set their own cookies and collect usage data under Google's privacy policy. We do not control, and are not responsible for, how Google processes information through these tools.

Your cookie controls and consent

When you first visit our website, our cookie-consent banner lets you acknowledge or manage non-essential cookies. You can also control cookies through your browser settings — including blocking or deleting them — though disabling some cookies may affect how the site works. You can opt out of Google Analytics across sites using Google's browser opt-out add-on.

Global Privacy Control and Do-Not-Track

Some browsers and extensions offer a Global Privacy Control ("GPC") signal. Where required by applicable law, we treat a recognized GPC signal as a valid request to opt out of any "sale" or "sharing" of personal information for the browser or device from which it is sent. Because there is no common industry standard for "Do-Not-Track," our website does not currently respond to Do-Not-Track signals, but we do honor GPC as described above.

5. Artificial Intelligence and Automated Processing

We and our service providers may use artificial-intelligence ("AI") and other automated tools to help operate our business — for example, to generate or improve website content; to power chat or virtual-assistant features; to route, summarize, and respond to inquiries and leads; to detect spam and fraud; and to analyze website usage. These tools process the categories of information described in this Policy to provide and improve our Services.

We maintain human oversight of meaningful decisions. We do not use solely automated processing to make decisions that produce legal or similarly significant effects about you without appropriate disclosure and, where required by law, your consent or the ability to request human review. AI-assisted output may contain errors and should not be relied upon as professional advice; please confirm important details with a member of our team.

6. How We Share Your Information

We do not sell your personal information. We share personal information only as described below:

  • Service providers and processors that perform functions on our behalf under contracts that limit their use of the information — including CI Web Group, which builds and hosts this website and operates the form-relay service that delivers your form submissions and a notification to our staff inbox ([email protected]); our analytics, tag- management, security/anti-spam, and mapping providers (Google); and our communications, email, and text-message delivery vendors;
  • Financing partners, only if and when you ask us about financing and choose to apply;
  • Legal, safety, and compliance recipients — to comply with the law or legal process, respond to lawful requests, enforce our agreements, or protect the rights, property, and safety of our company, our customers, and the public;
  • Business transfers — in connection with a merger, acquisition, financing, reorganization, or sale of all or part of our business or assets, subject to this Policy.

7. We Do Not Sell or Share Your Personal Information

We do not sell your personal information for monetary consideration, and we do not knowingly "share" it for cross-context behavioral advertising, as those terms are defined under the California Consumer Privacy Act, as amended (the "CCPA"). We have not sold or shared personal information in the preceding twelve (12) months, and we do not sell or share the personal information of consumers we know to be under 16 years of age.

To the extent the use of analytics or advertising cookies could ever be considered a "sale" or "share" under applicable law, you may opt out by (a) rejecting non-essential cookies in our cookie-consent banner, (b) enabling a Global Privacy Control signal in your browser, or (c) contacting us using the details in Section 16 with the subject "Do Not Sell or Share My Personal Information."

8. Data Retention

We keep personal information for as long as necessary to fulfill the purposes described in this Policy — including to respond to your request, provide the services you ask for, and maintain business records — and to comply with our legal, tax, accounting, and regulatory obligations, resolve disputes, and enforce our agreements. The retention period for each type of information depends on its nature, the purpose for which it was collected, and applicable legal requirements. When information is no longer needed, we delete or de-identify it.

9. Data Security

We use reasonable administrative, technical, and physical safeguards designed to protect personal information against loss, misuse, and unauthorized access, disclosure, alteration, and destruction. However, no method of transmission over the internet or method of electronic storage is completely secure, and we cannot guarantee absolute security. You are responsible for keeping any credentials and the information you share with us reasonably secure on your end.

10. Your California Privacy Rights (CCPA/CPRA)

If you are a California resident, the CCPA provides you with the rights described below. In the preceding twelve (12) months, we have collected the following categories of personal information: identifiers (such as name, email, phone number, address, and online identifiers); customer records (such as contact and service details); commercial information (such as services requested); internet or other electronic network activity (such as usage and analytics data); approximate geolocation (derived from IP address); professional or employment information (for job applicants); and inferences drawn from the above. We collect this information from the sources, and use and disclose it for the business purposes, described in Sections 2, 3, and 6. We do not use or disclose sensitive personal information for purposes that would require a right to limit under the CCPA.

Subject to certain exceptions, you have the right to:

  • Know and access the categories and specific pieces of personal information we have collected about you, the sources, the purposes, and the categories of third parties with whom we disclose it;
  • Delete personal information we have collected from you;
  • Correct inaccurate personal information;
  • Opt out of the sale or sharing of personal information (note that we do not sell or share it, as explained in Section 7); and
  • Not be discriminated or retaliated against for exercising any of your privacy rights.

To submit a request, contact us using the details in Section 16. We will verify your request using the information we have about you and respond within the time required by law (generally 45 days, with the possibility of an extension). You may use an authorized agent to submit a request on your behalf; we may require the agent to provide proof of your written permission and may require you to verify your identity directly. California's "Shine the Light" law (Civil Code § 1798.83) does not apply to us because we do not disclose personal information to third parties for their own direct-marketing purposes.

11. Your Rights in Other U.S. States

Depending on your state of residence — for example, Virginia, Colorado, Connecticut, Utah, Texas, Oregon, Montana, and other states with comprehensive privacy laws — you may have the right to confirm whether we process your personal information and to access it; to correct inaccuracies; to delete personal information; to obtain a portable copy; and to opt out of targeted advertising, the sale of personal information, and certain profiling. We do not sell personal information or engage in targeted advertising or profiling that produces legal or similarly significant effects.

To exercise any of these rights, contact us using the details in Section 16. We will respond as required by applicable law. If we decline your request, you may appeal that decision by replying to our response; if you have unresolved concerns, you may also contact your state attorney general.

12. Text Messages, Calls, and Your TCPA Choices

If you provide your telephone number and opt in — for example, by submitting a form with a consent checkbox or by texting us — you consent to receive calls and text messages from us at that number regarding your inquiry, estimates, scheduling, service, and account, and, where you separately agree, promotional messages. These communications may be sent using automated technology, and calls may include prerecorded or artificial voice messages where applicable.

Consent to receive marketing calls or texts is not a condition of purchasing any product or service. Message frequency varies, and message and data rates may apply. You can opt out of text messages at any time by replying STOP, and you can reply HELP for help. We do not sell or share mobile opt-in information or consent with third parties or affiliates for their own marketing purposes; numbers are disclosed only to the messaging providers that deliver communications on our behalf.

13. Children's Privacy

Our website is intended for a general, adult audience and is not directed to children. In accordance with the Children's Online Privacy Protection Act ("COPPA"), we do not knowingly collect personal information from children under 13 years of age, and we do not knowingly sell or share the personal information of consumers under 16. If you believe a child has provided us with personal information, please contact us using the details in Section 16 and we will take appropriate steps to delete it.

14. Third-Party Websites and Links

Our website may contain links to, or content embedded from, third-party websites and services (such as Google Maps, review platforms, and any financing partner). We do not control those third parties, and their collection and use of information is governed by their own privacy policies. We encourage you to review the privacy policies of any third-party site or service you visit.

15. Changes to This Policy

We may update this Policy from time to time to reflect changes in our practices, technology, or legal requirements. When we do, we will revise the "Effective Date" shown at the top of this page and post the updated Policy here. If we make material changes, we will provide additional notice as required by applicable law. Your continued use of our Services after the updated Policy takes effect constitutes your acceptance of it.
